Add a customer

What this is for

Record a company you sell to — name, main contact, address — so you can quote, invoice, ship, and open cases against them.

Concepts

In the menu the list is Clients. The dialog is Add New Customer. Same thing: a company that buys from you.

That company is their business, not yours. Your own account is Set up your company. People who log in to EpicBiz to work for you are employees, not customers.

Company Legal Name is the customer. First Name / Last Name / Email are the main person at that company.

If they also sell to you, tick Customer is also a vendor so they appear in both lists. You can do that later with Enable as vendor on their page.

How many customers you can add is a Customers limit on your plan.

Before you start

  • You can Log in and open Clients.
  • You know their legal name, a contact email, and a main address.
  • You have room under the plan’s Customers limit. If not, Change your plan first.

Steps

  1. Open Clients in the top menu.
  2. Click the plus (Add a new Client).
  3. In Add New Customer, enter Company Legal Name, Email, First Name, Last Name, and Company Phone Number.
  4. Enter Main Address Line 1. Main Address Line 2 is optional. Set Country, State, City, and Zip Code.
  5. Fill Tax ID Type and Tax Number if you have them. If sales tax rules already exist, each rule shows Yes / No — pick whether that tax applies to this customer.
  6. Tick Customer is also a vendor only if they are both. Click Add.
  7. They appear on Clients. Open them with View Client. You land on Company Overview plus Addresses. Use the toolbar for Contacts, Quotes, Invoices, Cases, and the rest when you need those jobs.

To fix legal name or tax later: on Company Overview, Edit Company, then Update. You cannot delete a customer: Customers cannot be deleted. Deactivate the customer instead.

What happens next

Add what you sell (Add a product or service), then create a quote or an invoice for this customer.

If they buy from you and you buy from them, Add a vendor is the other list — skip it if you already ticked Customer is also a vendor.

If something looks wrong

  • Resource limited / Looks like you have run out of customers in your plan. Click Please Upgrade.
  • Add will not save. Required fields have a red asterisk. Check phone format for the Country.
  • You cannot find Customers in the menu. The list is Clients.
  • Quotes and invoices are missing on the customer. You still need a billing point of sale (and usually a tax rule) — that is the tax / POS job, not this one.
