Set quote and contract defaults¶
What this is for¶
Set the next quote/contract number and how contracts auto-invoice and auto-renew — without opening each document.
Concepts¶
General Setting (cog) in Company Settings. Tabs you already used for language and branding: Localization, Branding, Printing. This job is the Contracts and Quotes tabs. The heading is General Settings.
Quotes tab:
- Next Quote Number
Contracts tab:
- Next Contract Number
- Automatically activate invoices
- Add contract name to automatically generated billable items and invoice items
- Add date period to automatically generated billable items and invoice items
- Automatically renew contract X day before contract end
Pencil opens an update dialog; Update saves. Values often show as yes/no or a number.
Language, logo, and print name stay in Set up your company. Configuration Tasks covers this area as Review General Settings.
Before you start¶
- You can open Company Settings.
- You know whether contracts should invoice by themselves and how many days before end to renew.
Steps¶
- Click the gear. Open General Setting.
- Open Quotes. Pencil Next Quote Number if you must start from a value other than the default. Update.
- Open Contracts. Pencil each row you care about (Automatically activate invoices, name/date on generated lines, renew-before-end days, next number). Update each dialog.
What happens next¶
Create a quote and Create a contract use these numbers and rules. Cancel or renew a contract still depends on Auto Renew on the contract itself plus the “X day before” setting here.
If something looks wrong¶
- You expected branding here. That is the Branding tab, not Quotes / Contracts.
- A contract did not renew. Automatically renew contract X day before contract end is zero or the contract has Auto Renew No.
