Create a terms template

What this is for

Write the legal or commercial text that quotes, contracts, or work orders can pick, so you do not retype terms on every document.

Concepts

Template under Company Settings is a list with tabs (quote, contract, work order — and Email if that module is on). Configuration Tasks calls this Create Terms and Conditions templates for quotes, contracts and work orders.

The plus tooltip depends on the tab: Add Document (quote), Add Contract Template, or Add Work Order Template. The dialog title is always Add a New Template. Fill Template Name, Title, and Content. Click a General Variables (or contract) token to insert a placeholder. Click Add.

On Create a quote you pick Quote Template. Contracts have Contract Template. Work orders pick Work Order Terms and Conditions.

Email templates are a different job (email module). This article is document terms.

Before you start

  • You can open Company Settings.
  • You know which document type you are writing terms for.

Steps

  1. Click the gear. Open Template (page icon), or click Create Terms and Conditions templates for quotes, contracts and work orders on Configuration Tasks.
  2. Open the tab for quote, contract, or work order.
  3. Click the plus (Add Document, Add Contract Template, or Add Work Order Template, depending on the tab).
  4. In Add a New Template, enter Template Name. Optional: Title. Type Content (use the variable links if you want company or document fields to fill in later). Click Add.
  5. Enable the row if the list shows a status switch. Tick the Configuration Task when you have at least one template you will actually use.

What happens next

On New Quote, Terms and Conditions → Quote Template. On New Contract, Contract Template. On a work order, Work Order Terms and Conditions.

If something looks wrong

  • No Email tab. The email module is off — Edit email templates after you turn it on.
  • The quote still shows blank terms. You saved the template but did not select it on the quote, or the template is disabled.
