Add a vendor¶
What this is for¶
Record a company you buy from — so you can send purchase orders, receive goods, and enter bills.
Concepts¶
In the menu the list is Providers. The dialog is Add New Provider. Same thing: a supplier.
That company is their business. People who log in to your EpicBiz account are employees, not vendors.
If they already exist as a customer, do not add them twice. On the customer, use Enable as vendor (or tick Customer is also a vendor when you add the customer). They then show in both Clients and Providers.
Tax ID Type and Tax Number are required here (they are optional when you add a customer).
Before you start¶
- You can Log in and open Providers.
- You know their legal name, a contact email, main address, and tax id / number.
Steps¶
- Open Providers in the top menu.
- Click the plus (Add a new Provider).
- In Add New Provider, enter Company Legal Name, Email, First Name, Last Name, and Company Phone Number.
- Enter Main Address Line 1. Main Address Line 2 is optional. Set Country, State, City, and Zip Code.
- Enter Tax ID Type and Tax Number. Click Add.
- They appear on Providers. Open them with the eye icon (the tooltip says View Client). You land on Company Overview plus Addresses. The toolbar has Purchase Orders, Receive Items, Bills, and Payments for the buy jobs.
To fix legal name or tax later: on Company Overview, Edit Company, then Update.
What happens next¶
Add what you buy (Add a product or service), then Create a purchase order and Receive items.
If you also sell to them, they should be a customer too — see Add a customer.
If something looks wrong¶
- Add will not save. Tax ID Type and Tax Number have a red asterisk on this form. Check phone format for the Country.
- You cannot find Vendors in the menu. The list is Providers.
- They are already a customer. Do not create a second company. Open Clients, View Client, and Enable as vendor.
- The eye icon says View Client on a provider. That is the same open-company action; you are still on Providers.
