Create a quote¶
What this is for¶
Send a priced offer to a customer before you bill. The quote can later become an invoice (one-time sale) or a contract (ongoing).
Concepts¶
A quote starts as Draft. You move it with Status (for example toward Approved). Converted means you already turned it into an invoice or a contract — do not edit it after that.
Type decides what you can generate later:
- A sale type → Turn a quote into an invoice after Approved.
- A contract / subscription type → Turn a quote into a contract after Approved.
Contact on this form is the person at the customer. Billing Address is theirs, not yours.
Save stays off until you add at least one Product.
Before you start¶
- Add a customer and Add a product or service.
- Optional: Create a terms template if you will pick Quote Template.
- You can open that customer (or the Quotes list).
Steps¶
- Open Clients, open the customer, then Quotes. Or open Quotes and pick the customer later.
- Click the plus (Add Quote). You land on New Quote, General Details.
- Enter Quote Name. Choose Contact, Billing Address, Type, and Sales Person. Set Expiration Date. Quote Description and Created Date are optional.
- If Type is contract-like, fill Billing frequency and the length fields that appear.
- Click Add Product. Enter Quantity, Product, Unit Price. Tax columns follow your tax rules. Repeat for each line.
- Optional: Customer Text, Private Notes. On Terms and Conditions, pick a Quote Template.
- Click Save. The quote is Draft.
- Open it. Use Status to move it (send it, negotiate, Approved, and so on). Print to PDF or Send by email (email module) when you are ready.
What happens next¶
When it is Approved: generate an invoice or a contract, depending on Type.
Or skip the quote and Create an invoice directly.
If something looks wrong¶
- Save is gray. Add at least one product line.
- Generate Invoice / Generate Contract is missing. The quote is not Approved, or Type does not match that action.
- You cannot Edit. The quote is already Converted.
