Cancel or renew a contract¶
What this is for¶
Keep an active contract going, or stop it so it does not keep billing.
Concepts¶
Auto Renew was set when you created or edited the contract (Yes / No on the contract). If it is Yes, EpicBiz can continue it at the end of the term (status can show Renewed). Turn Auto Renew off with Edit before the end if you do not want that.
Contract Termination (power icon) is how you cancel an Active contract. You may see a prepare-cancel step before it is fully Cancelled. You cannot Edit after it is cancelled or in prepare-cancel the same way as an active one.
Activate is only for Draft. This job assumes the contract already runs.
Price adjustments (chart icon) on an active contract is escalation, not this job. Changing the product mix is Create a change order.
Before you start¶
- The contract exists. You know whether it should keep billing.
Steps¶
Let it renew¶
- Open the contract. Confirm Auto Renew is Yes.
- If it is No and you want renewal, Edit, tick Auto Renew, save — while status still allows Edit.
Stop it¶
- Open the Active contract.
- Click Contract Termination.
- Complete the cancel dialog the product shows (reason / date as requested). Confirm.
- Status moves toward Cancelled (sometimes via a prepare-cancel state). New cycle invoices should stop.
What happens next¶
Open invoices that already exist still need Record a payment or a credit if you reverse them.
If something looks wrong¶
- No Contract Termination. The contract is Draft (use Activate or delete/edit instead) or already cancelled.
- It billed again after you thought it stopped. Auto Renew was still Yes, or a period invoice was already generated. Turn Auto Renew off earlier next time; void or credit extras if the product allows.
- Edit is gone. Status is Cancelled or prepare-cancel.
