Edit email templates

What this is for

Change the subject and body of emails the product sends (invoices, cards, notices) — with placeholders for company and contact fields.

Concepts

Needs the email module turned on, with SMTP saved on that module page (Host, Username, Password, From Name, From Address, SMTP Port, SMTP Encryption). Company Settings → Template → Email.

Plus is Add Email Template. The modal title is Add a New Template. Fields: Email Category (Select Email Category), Template Name, Subject, Body. Click a General Variables token (for example {company_name}) to insert it. Extra blocks appear by category.

One category you will see is Invoice overdue (subject like Overdue invoice {invoice_number} — {company_name}). That mail goes out when an unpaid invoice is past due. It does not add a late-fee line — Set late fees is the charge.

Quote / contract / work order wording on PDFs is Create a terms template, not this job.

Do not use Catalog. That is a platform (master) screen.

Before you start

  • Email module Enabled and SMTP Saved.
  • You can open Company Settings.

Steps

  1. Click the gear. Open Template, then the Email tab.
  2. To add: click the plus (Add Email Template). Choose Email Category, Template Name, Subject, and Body. Insert variables. Save as the modal offers.
  3. To change one: open the row, edit, save.
  4. Filter if the list is long.

What happens next

The product uses the matching category when it sends mail (for example card expiry or Invoice overdue). Test by triggering that event on a sample customer.

If something looks wrong

  • No Email tab. Turn a module on for email and finish configuration (including SMTP Save).
  • Variables print as {company_name}. The token is misspelled, or that field is empty on the record.
  • Overdue invoices never email. Email module is off, SMTP is incomplete, or there is no Invoice overdue template for your language.
  • You needed Net 30 terms on a quote. Create a terms template.
