Exchange contract items¶
What this is for¶
Swap a shipped contract item for another unit — customer sends one back, you send a replacement — without rewriting the contract.
Concepts¶
On an Active contract that has shippable items, the toolbar shows:
- Items to be Exchanged — units already delivered that you can swap (heading Items to be exchanged).
- Exchange Orders — swaps you already created.
The row action Exchange Order opens Generate a new Exchange Order, two tabs:
- Exchange Return Order — customer → you. Scheduled Delivery Date, Billing POS, Ship From (customer address), Ship To (your warehouse). Next.
- Exchange Send Order — you → customer. Scheduled Delivery Date, Billing POS, Ship From (warehouse), Ship To, Contact Person. Back or Create.
Each exchange creates two delivery orders. On Exchange Orders you open Exchange Return and Exchange Send.
This is not a change order (catalog add/remove) and not a simple return with no replacement.
Before you start¶
- The contract is not Draft.
- The item has already shipped (it appears on Items to be Exchanged).
- Warehouse and customer shipping addresses, plus a Billing POS.
Steps¶
- Open the contract. Click Items to be Exchanged.
- On the row, click Exchange Order.
- Fill Exchange Return Order. Click Next.
- Fill Exchange Send Order. Click Create.
- Open Exchange Orders to jump to the return and send deliveries.
Then Ship a delivery order / Complete a delivery / Return goods to the warehouse on those two documents as you would any delivery.
What happens next¶
The swap is two delivery jobs. Stock moves when you ship, complete, or receive the return.
If something looks wrong¶
- Items to be Exchanged is missing. The contract has no shippable items, or nothing has been delivered yet.
- You only need goods back, no replacement. Use the delivery return, not an exchange.
