Create an invoice¶
What this is for¶
Bill a customer now — without a quote — for goods or services they owe you.
Concepts¶
Save keeps the invoice as Draft (number shows Pending / (Draft)). Save & Publish issues it (Unpaid, and so on). Drafts can still Edit; published invoices are what customers pay.
When you publish, EpicBiz freezes Bill To and your company details on the PDF and email. Changing the customer address later does not rewrite a published invoice.
Billing POS picks the numbering till. Term sets Due Date. If the due date is in the past, status becomes Overdue (also when you edit the due date later). Overdue can send an Invoice overdue email if the email module is on — that notice is not the same as late fees.
Fulfillment on a line (and Fulfillment order on the header) controls whether that quantity can go on a delivery order after you publish.
You can also generate an invoice from an approved sale quote.
Before you start¶
- Add a customer and Add a product or service.
- At least one Billing POS.
Steps¶
- Open Clients → the customer → Invoices, or open Invoices.
- Click the plus (Add Invoice). You land on New Invoice.
- Choose Billing POS, Billing Address, Sales Person, Date, and Term. Note Due Date.
- Optional: Send notifications by email if the email module is on. Optional: Charge invoice automatically on due date.
- Click Add Product. Fill Quantity, Product, Unit Price, tax columns, and Fulfillment if the line ships.
- Click Save for a draft, or Save & Publish to issue it.
On View Invoice: Print to PDF, Email, Void (when allowed — Void an invoice), Load Billable Item on a Draft (Add billable items), Items Pending Delivery after publish if anything still ships.
What happens next¶
If something ships: See what still needs to ship.
To reverse part of a published invoice: Issue a credit. To cancel the whole unpaid invoice: Void an invoice.
If something looks wrong¶
- Red banner: You are not able to create invoice because you have no any Billing POS. Add a POS first.
- Save & Publish stays off. Add at least one product line.
- Items Pending Delivery is missing. The invoice is still Draft, or no line is set to deliver.
- PDF still shows an old customer address. That invoice was already published — the Bill To on it does not follow later edits to the customer.
- Status is Overdue after you change Due Date. The due date is still in the past. Move it forward if the invoice should not be overdue.
