Add billable items¶
What this is for¶
Park work or extra charges on a customer (or a contract) until you are ready to put them on an invoice — timers, extras, voided lines you still want to bill.
Concepts¶
Billable Items on the customer is a holding list: Quantity, Product, Description, Unit Price, Unit. They are not an invoice yet.
You can also open Billable Items on an Active contract (contract-generated lines land there) — Bill a contract.
A Draft invoice has Load Billable Item → Add Billable Item to Invoice. Tick rows and Add.
From the customer list, tick rows and Generate Invoice → Generate a New Invoice (same idea as a new invoice: Billing POS, Billing Address, Sales Person, Date, Term). Save.
The left toolbar New Billable Item asks Select Company, then Add, and opens that customer’s list in add mode.
Contracts can also create billable lines when you void an invoice and answer Yes to copy items, or when a cycle is set to billable instead of auto-invoice.
Before you start¶
- Add a customer and catalog items.
- To generate an invoice: a Billing POS.
- To load onto an invoice: a Draft invoice for that customer.
Steps¶
Add lines on the customer¶
- Open Clients → the customer → Billable Items, or New Billable Item in the left toolbar (pick the company, Add).
- Click the plus (Add Billable Item). A new row appears.
- Choose Product. Set Quantity and Unit Price if they stay editable. Click Save Product.
- Repeat for each extra.
Later: pencil (Edit Product) / trash (Delete Product — confirm Are you sure. This action can not be undone !).
Turn them into an invoice¶
- Tick the rows.
- Click Generate Invoice. If nothing is ticked you see Select Billable Items.
- In Generate a New Invoice, set Billing POS, Billing Address, Sales Person, Date, Term. Save.
Or open a Draft invoice → Load Billable Item → tick → Add.
What happens next¶
Record a payment on the new invoice. If a line ships: See what still needs to ship.
If something looks wrong¶
- Billable Item List is empty on Load Billable Item. There is nothing pending for that customer, or you are not on a Draft.
- Generate Invoice does nothing useful. Tick the checkbox on each row first.
- Time you logged never appears here. Completing a timer is not the same as creating a billable line — add the product (or use the billable path the timer offers) then generate.
