Void an invoice

What this is for

Cancel a published invoice that should never have been billed — the whole document, not a partial credit.

Concepts

Void is on View Invoice. It is offered only when status is Unpaid or Overdue, and only if that invoice has no open delivery work (no active delivery order, no line still in transit).

This is not Issue a credit. A credit keeps the invoice and reduces what they owe. Void marks the invoice Void.

A Draft invoice has Delete, not Void.

You get two confirms (Confirm, Yes / Cancel):

  1. Are you sure you want to Void the Invoice?
  2. Do you want to add the invoice items to the billable items list? — Yes copies the lines to Billable Items so you can bill them later.

Before you start

  • The invoice is published and still Unpaid or Overdue.
  • Cancel or complete deliveries on that invoice first, or Void will not appear.

Steps

  1. Open View Invoice.
  2. Click Void.
  3. In Confirm, read Are you sure you want to Void the Invoice? Click Yes to continue, or Cancel.
  4. The second Confirm asks whether to copy lines to billable items. Yes or Cancel (cancel here means “void without copying”, not “abort the void”).
  5. You return to the customer Invoices list. Status is Void.

What happens next

If you copied lines: Add billable items (generate or load them onto a new invoice).

If the customer still owes something else: Record a payment or Issue a credit on the remaining documents.

If something looks wrong

  • No Void icon. Status is not Unpaid / Overdue, there is still a delivery on this invoice, or it is still Draft (use Delete).
  • You needed to reverse only part of the bill. Use a credit, not void.
