Issue a vendor credit¶
What this is for¶
Record that a vendor owes you money back — overcharge, return, or rebate — so you can apply it when you pay a vendor.
Concepts¶
On a Provider, Credits is the buy-side twin of customer Issue a credit. The plus is Add Credit. The form title is New Credit.
Reference Number and Date identify the credit. Lines are Quantity, Product, Description, Unit Price, Unit, Total Price. Add Product adds a row. Total Due is the credit amount.
Save keeps a Draft. Save & Publish makes it usable. Statuses you will see: Draft, Available, Partially Assigned, Assigned.
View Credit, Edit Credit, Delete Credit (Are you sure you want to delete? This action cannot be undone.), and Print Credit follow the same rules as customer credits: delete only while Draft; PDF after publish.
This is not a vendor bill. A bill is what you owe. A credit reduces what you owe.
Before you start¶
- Add a vendor. You usually already have a bill or a return.
Steps¶
- Open Providers → the vendor → Credits.
- Click the plus (Add Credit). You land on New Credit.
- Enter Reference Number and Date.
- Click Add Product. Enter Quantity, Product, and Unit Price for what they are crediting.
- Click Save (draft) or Save & Publish.
What happens next¶
When you Pay a vendor, apply the Available credit toward open bills.
Company-wide: See what you owe vendors.
If something looks wrong¶
- The credit does not reduce a bill. Save & Publish first, then apply it on New Payment.
- Delete Credit is missing. Only Draft credits can be deleted.
- You needed to credit a customer. That is Issue a credit.
