Turn a quote into an invoice¶
What this is for¶
Bill the customer for an approved one-time quote without retyping the lines.
Concepts¶
This only works for a sale quote in Approved. Contract-like quotes use Turn a quote into a contract instead.
Generate Invoice copies the quote lines into a new invoice. You still choose Billing POS, dates, and terms. After this, the quote becomes Converted and the handshake/invoice icon opens the invoice. When that invoice is published, Bill To and your company details freeze on the PDF and email the same way as Create an invoice.
You can also Create an invoice from scratch. Use this job when the quote is already agreed.
Before you start¶
- The quote exists and is Approved, with a sale Type.
- You have a billing POS.
Steps¶
- Open the quote (Quotes, or Clients → customer → Quotes).
- Click Generate Invoice (invoice icon in the toolbar).
- In Generate a New Invoice, choose Billing POS, Billing Address, Sales Person, Date, and Term. Due Date fills from the term.
- Optional: Charge invoice automatically on due date if a card module is on.
- Confirm in the dialog (same Add / save action the form shows). You land on the invoice.
From the quote list, the same Generate Invoice icon appears on an Approved sale quote.
What happens next¶
Record a payment when they pay.
If lines Delivery, go to See what still needs to ship.
If something looks wrong¶
- No Generate Invoice. Wrong Type, or status is not Approved (still Draft / Sent, or already Converted).
- You are not able to create invoice because you have no any Billing POS. Finish Set tax rules and payment methods.
- The quote will not edit after generate. That is Converted — change the invoice, not the quote.
