Refund a payment

What this is for

Undo a customer receipt: send the money back through the card processor, turn it into a credit, or (for a manual receipt) delete it.

Concepts

On Payments, the trash tooltip is always Delete Payment. What opens depends on how they paid:

How they paid Dialog Choices
Card (Stripe) Confirm Refund Credit or Stripe
Anything else Confirm Delete Credit or Delete

Credit creates a customer credit (needs Billing POS and Date) so you can apply it later. Stripe refunds through the card processor (POS/date hide). Delete removes the manual receipt without a credit.

Reason is required. Click Proceed. Status can show Refunded.

This is not Void an invoice. The invoice may go back toward unpaid after the payment is gone.

Before you start

  • The payment exists and is not already Refunded.
  • For Credit: a Billing POS.
  • For Stripe: the card module is how that payment was taken.

Steps

  1. Open Clients → the customer → Payments (or Payments).
  2. Click the trash (Delete Payment).
  3. If Confirm Refund opens: read Are you sure you want to refund or create credit? Pick Credit or Stripe. Enter Reason. If Credit, set Billing POS and Date. Click Proceed.
  4. If Confirm Delete opens: read Are you sure you want to delete or create credit? Pick Credit or Delete. Enter Reason. If Credit, set Billing POS and Date. Click Proceed.

Close aborts.

What happens next

If you chose Credit, apply it on Record a payment toward open invoices.

The invoice that this receipt had paid may show unpaid again.

If something looks wrong

  • No trash. The row is already Refunded.
  • Stripe fails. That charge was not a processor payment, or the card module cannot refund it — use Credit instead, or Issue a credit.
  • You meant to cancel the invoice itself. Void an invoice if Void is still offered.
