Bill a contract

What this is for

Turn this period’s contract charges into an invoice — from the holding list or by adding an invoice on the contract.

Concepts

After a contract is no longer Draft, the toolbar has:

  • Billable Items — heading Contract Billable Items. Period lines and extras wait here (same idea as Add billable items on the customer). Plus adds a row; Save Product / Edit Product / Delete Product. Tick rows and Generate Invoice → Generate a New Invoice (Billing POS, Billing Address, Sales Person, Date, Term). Optional: Charge invoice automatically on due date if a card module is on.
  • Invoices — heading Contract Invoices. Invoices already tied to this contract. Plus is Add Invoice (same New Invoice flow, already linked to the contract).

The product also creates invoices on the cycle when the contract is set that way. This job is the manual path when lines are waiting or you need an extra invoice.

Before you start

  • An Active contract with lines.
  • A Billing POS and billing address.

Steps

From billable items

  1. Open the contract. Click Billable Items.
  2. Confirm the rows (or add one with the plus, Save Product).
  3. Tick what to bill. Click Generate Invoice.
  4. In Generate a New Invoice, set Billing POS, Billing Address, Sales Person, Date, and Term. Save.

Add an invoice on the contract

  1. Open the contract. Click Invoices.
  2. Click the plus (Add Invoice).
  3. Complete New Invoice as in Create an invoice.

What happens next

Record a payment. If lines ship: Create a delivery order. Extra one-off charges: Add billable items on the customer or here.

If something looks wrong

  • Generate Invoice is missing. There are no billable rows yet (cycle not due, or still Draft).
  • Duplicate invoices. Check Contract Invoices before generating again.
  • You meant to change the catalog on the contract. Create a change order or Schedule a price adjustment.
