Set late fees

What this is for

Define the extra charge on overdue customer invoices, after you turn late fees on.

Concepts

The Late Fees tab appears only when Charge late fees on overdue invoices is yes on Billing System → General Settings.

Rows you will see:

  • Late Fee Item — the catalog item that holds the fee (created at signup; no pencil on this row)
  • Late Fee Type — Percentage or Amount (pencil opens Update Late Fee Type: Fee Percentage or Fee Amount)
  • Fee Percentage or Fee Amount (only the row that matches the type)
  • Fee Minimum
  • Update late fee X days after due date

Configuration Tasks: Check Late Fee configuration (when late fees are in use).

This does not create the overdue invoice. It is the rule applied when the product charges the fee.

Separately, unpaid invoices past Due Date show status Overdue, and the email module can send Invoice overdue. That email is a warning — it does not add the late-fee line. Set the template in Edit email templates.

Before you start

Steps

  1. Click the gear → Billing System → General Settings. Pencil Charge late fees on overdue invoices. In Update charge late fees on overdue invoices, choose yes. Update.
  2. Open the Late Fees tab.
  3. Pencil Late Fee Type. In Update Late Fee Type, choose Fee Percentage or Fee Amount. Update.
  4. Pencil Fee Percentage or Fee Amount, Fee Minimum, and Update late fee X days after due date. Update each dialog.
  5. Tick Check Late Fee configuration on Configuration Tasks when the numbers are right.

What happens next

Overdue invoices can pick up the fee according to those days. Still Record a payment when the customer pays.

If something looks wrong

  • No Late Fees tab. Charge late fees on overdue invoices is still no.
  • The fee never appears on an invoice. Days after due date have not elapsed, or the invoice is not overdue in the product.
  • The customer got an overdue email but no fee line. Email and late fees are independent — turn late fees on here if you want the charge.
