Add a warehouse¶
What this is for¶
Name a place where stock lives so you can receive goods, ship, count, and move inventory. This job needs the Inventory module on.
Concepts¶
A warehouse is still an address. You add it under Company Settings → Addresses, with Address Type Warehouse. Signup already created one named Central Warehouse (same street as your main address). Add another only if you have a second location.
Inventory warehouse settings live on that address form — not on the Inventory module page. After Inventory is on, open a warehouse address to set:
Inventory mode
- Enforced (check stock) — EpicBiz keeps a quantity. Shipping, counts, and transfers use that quantity. This is the default.
- Unlimited (virtual warehouse) — shipping does not check stock. You cannot count it, and you cannot transfer stock into it. Use this only for a virtual source (for example drop-ship), not a real building. Help text: Unlimited warehouses skip stock checks when shipping. A warehouse with stock quantity or unused serial numbers cannot be switched to Unlimited.
Bin locations — tick Use bin locations in this warehouse if you store items in coded slots. Then set Area, Aisle, Shelf, and Bin. Each level can be Not used, Short codes (up to 9), Medium codes (up to 99), or Long codes (up to 999). Help text: Choose how many characters each level allows. Set a level to Not used to skip it.
The Modules → Inventory page is a summary: Recommended setup (none of those steps block using inventory) and a Warehouses table (Location, Inventory mode, Bin locations Enabled / Not used). The help line is Warehouse stock mode and bin layout are configured in Settings → Addresses. Open a warehouse address to edit inventory settings.
In-transit locations that appear on some stock reports are not warehouses you add here.
Before you start¶
- You can Log in and open Company Settings.
- Inventory is Enabled: Turn a module on.
- You know the street, city, and phone for the location.
Steps¶
If you only need the default warehouse¶
- Click the gear. Open Addresses.
- Confirm Central Warehouse is in the list (Type Warehouse). Open it.
- Under Inventory warehouse settings, leave Inventory mode as Enforced (check stock) unless you truly need a virtual warehouse.
- Tick Use bin locations in this warehouse only if you use bin codes. Set Area / Aisle / Shelf / Bin, or leave a level at Not used. Save the address.
- Optional: open Modules → Inventory to confirm the Warehouses table. Tick Set up Inventory configuration on Configuration Tasks when you are done.
If you need another warehouse¶
- Click the gear. Open Addresses.
- Click the plus (Add Address).
- In Add New address, enter Address Name (the name operators will pick on receive and ship), Address, Phone Number, Country, State, City, and Zip Code.
- Set Address Type to Warehouse. Click Add.
- Open the new warehouse address. Set Inventory warehouse settings as above, then save.
You will see Remember to edit products to set inventory control preferences after Inventory is on. That is Add a product or service (Track Inventory) and later Product List, not this form.
What happens next¶
Mark goods as Track Inventory if you have not: Add a product or service.
Then receive stock (Receive items) or sell and ship. Counts and moves between warehouses are Stock jobs.
Finish billing setup if you still need it: Set tax rules and payment methods.
If something looks wrong¶
- The Inventory Warehouses table is empty. Inventory is still Disabled, or you have no address with Address Type Warehouse. Turn the module Enabled, then add or confirm a warehouse address.
- You cannot switch to Unlimited (virtual warehouse). The location still has quantity or unused serial numbers. Move or clear that stock first, or stay on Enforced (check stock).
- Count or transfer into this location is refused. Unlimited warehouses cannot be counted and cannot receive ledger stock. Use Enforced (check stock) for real buildings.
- Bin fields on Product List are missing. Tick Use bin locations in this warehouse and set at least one of Area / Aisle / Shelf / Bin to something other than Not used.
