Receive items

What this is for

Record that goods arrived at your warehouse so stock (if tracked) and the vendor bill can follow.

Concepts

New Receive Item is a receipt. Receive Location is the warehouse. Receive Item Reference Number is your receipt id.

How the vendor invoice relates:

  • Bill received with items — you can create the bill in the same flow.
  • Bill already received — the bill exists.
  • Bill to follow — bill later (Record a vendor bill).

Purchase Order in the toolbar loads lines from an approved PO.

Confirm Receive Item on the view posts it (Are you sure you want to receive? This action cannot be undone.). Until then it is still a draft receive.

Inventory on: confirmed qty increases stock at Receive Location. Serial items may ask for numbers.

Before you start

  • Vendor exists. A warehouse exists.
  • Prefer an approved PO.

Steps

  1. Open Providers → the vendor → Receive Items.
  2. Add a receive (New Receive Item).
  3. Set Date, Receive Location, and Receive Item Reference Number. Choose the bill radio that matches the paperwork.
  4. Optional: Purchase Order in the toolbar and load lines. Or Add Product by hand.
  5. Save, then open the receipt and click Confirm Receive Item. Confirm the dialog.

What happens next

If the bill did not come with the goods: Record a vendor bill. Then Pay a vendor.

If something looks wrong

  • Confirm is missing. You are still on the add/edit form — save first, then open the view.
  • Stock did not move. Inventory is off, the item is not Track Inventory, or you have not confirmed.
  • No enforced warehouse. Add a warehouse in Enforced (check stock) if you need a ledger.
