Record a payment¶
What this is for¶
Mark that the customer paid (or you applied a credit) so invoices move from Unpaid toward Paid.
Concepts¶
New Payment is a receipt: Payment Method, amount, Date, and which invoices it covers.
Only methods you Enabled under Payment Methods appear. Card charging inside EpicBiz is a module, not this form.
Billing POS is required (same till idea as invoices).
You can open Payments on the customer, or from Invoices after you publish.
Before you start¶
- At least one published invoice (or an Available credit to apply).
- Payment methods reviewed.
Steps¶
- Open Clients → the customer → Payments, or Payments in the menu.
- Click the plus (Add Payment). You land on New Payment.
- Choose Payment Method and Billing POS. Enter Date. Reference Number if you have a check or transfer id.
- Optional: Send notifications by email.
- Allocate the amount to the open invoice(s) on the form (the unpaid list).
- Save. Invoice status moves to Partial payment or Paid as the totals require.
What happens next¶
Nothing else is required for a simple receipt. If you still need to ship, continue delivery jobs.
To see who still owes you: See who owes you money.
To undo a receipt: Refund a payment (trash Delete Payment).
If something looks wrong¶
- You are not able to create invoice because you have no any Billing POS. (The payment screen reuses that message.) Add a POS.
- The method is missing. It is Disabled on Payment Methods.
- The invoice stays Unpaid. The allocated amount is less than Total Due, or you saved without applying to that invoice.
- Automatic card charge failed. That is the card module / Failed payment status — fix the card setup, or record a manual payment here.
